The first class is expected to last 3-4 hours.
There will typically be time at the end for those who want to stick around for an additional hour or so for more hands on work or conversation.
The goal with the first class is to give you a feel for the very powerful nature of DIY Software and to help you get you over some of the largest of learning curves extremely quickly without concern for errant keystrokes or mistakes that might take more time to correct if working solo or from the videos.
In this class you will get introduced to all the resources that are available to you should you want to continue with your education and/or your use of the ZAP Accounting Software solution after the class.
20-30 Minutes - We get to know each other.
15-20 Minutes - We discuss the written intro material found on the "For Small Business > Intro and Pre-Reading" page. NOTE: I will only attempt to clarify small mis-understandings or frame questions with proper scope. I will not drill down deeper into any of the topics as that ends up putting the cart before the horse.
10-15 Minutes - We break...
When done at full speed after you know what you are doing, this entire process can be done in under 10 minutes. There are videos that show it being done in under 20 minutes with instructions and then other videos showing it being done progressively faster to help you learn how to do it faster after you've done it the first time from written instructions with the help of an instructor to make sure you don't get stuck anywhere. There is no need to memorize anything or to make any notes. There are a lot of videos for reference you can use later for refreshers and further education.
Part 2.1 - Install the 2 Part Software System
Go to the ZAP Accounting Software website.
Go to Software > Box 5 > Bookkeeping
Go to the BK Download Guide website.
Goto the Version A Link
Locate the Flow Chart and the Written instructions at the bottom of the page.
We will only use the written instructions and flow chart for our install. The videos and such are a great place to return to after you've done it without them first. If you watch them prior to doing an install with the written instructions they will feel overwhelming. After you've done it you can watch them to learn more and see how much you learned without them first.
Follow the instructions to download the File Template (bubbles 1-3)
Follow the instructions to download the Google Script Project needed for full functionality. (bubbles 4-7)
Connect the two files (bubble 8)
Authorize the File and test that connection (bubble 10-11).
NOTE: Don't get hung up on privacy at this time. Circle back and watch videos and read up later if you have interest or concerns. You are authorize one file to access another file on your own drive only. It's all self contained on your drive and as private as that can get.
Rename your Bookkeeping File Template and make some copies (bubbles 13-15)
Rename your Google Script File and make a copy
Part 2.2 - Review the Demo Data
Go to the ZAP Accounting Software website.
Go to Software > Box 5 Bookkeeping
Go to the BK Demo Data Guide website.
Note: We won't do anything formally from this site in class 1. It's just to show you it's there.
In your file we'll click through the worksheets very quickly to get a feel for the file structure.
Part 2.3 - Remove the Demo Data
Go to the ZAP Accounting Software website.
Go to Software > Box 5 Bookkeeping
Go to the BK Configuration Guide website.
Go to Config Process > P1 - Clear Demo Data
Scroll to the Bottom of the Page and follow the written instructions
After doing that, the next step on the Config Process menu is > " Create "_blank" Copy" -- do that now...
Part 2.4 - Continue with the file configuration "EZ Stuff"...
On the BK Configuration Guide website.
Go to Config Process > P2 - The EZ Stuff
Scroll to the Bottom of the Page and follow the written instructions
At this point you've done all of the easier, more straight forward work for configuring the file.
Configuring the Raw Transactions Worksheets and the Balance Sheet will take more time and it is a bit more complex
We break now and we'll return to that in a moment...
Go to the ZAP Accounting Software website.
Go to Software > Box 5 > Bilbos Bank - Faux Bank Website
Click the Login button (faux credentials already filled in)
Click on Checking 6677
View the January 2016 Statement
Enter the Statement Data in the Statements Worksheet of your File
View the January 2016 Transactions
Copy and paste those into your raw transactions worksheet
Create a download set record and assign that to your data (typically done prior to download)
Copy the data in grey on the right and paste-special values only into the journal
Categorize a few transactions
Look at the Income Statement (makes sure the date range is appropriate for the sample data)
View the Balance Sheet (it likely will not be correct or work, but check it out anyway)
Remove the data you entered in the prior Part if desired.
Continue now on the BK Configuration Guide Website , Config Process Menu > P3 - Raw Transactions and Balance Sheet
We are going to modify a raw Transactions worksheet for your own transactions or some imaginary transactions so you understand how that file customization process works.
We will explore the Balance Sheet a little more...
We will spend time discussing or doing anything that the class members want to spend time on for the remainder of the class. and maybe some carry over time if time and the facility permits.
In this class you will gain rapid exposure to a new world of technology and information.
You won't need to take many or any notes. Everything we are doing has videos that you can use for a refresher and you'll be shown where those are...
For those who wish to continue further with this, we will discuss the various ways you can receive additional support:
The ZAP Accounting Software Website Resources
Community Forums (digital)
Community Meetup Groups (in person)
Computer Lab (if available in your area)
Other Instructor offered courses (if available in your area or digital)
I do NOT expect to lead any other courses other than the introductory course and I only expect to be doing this long enough to figure out what the best method for group education is so we can determine how others can do the same.
My job is to get you over the initial hump and my goal is to get others who want to lead those leading those. Once you see the volume of support already available at the ZAP Accounting Software website, and after you get a formal orientation to that, you will see this could all have been fully self guided, albeit getting out of the gate with an in person class is likely the best for most people.
If this sounds like it's of interest to you, please use the contact page to reach out and I look forward to meeting you in class.
